Do you have significant experience providing executive support to senior executives in a financial institution or other related professional industry? Then this is the job for you!

Our client, a reputable financial services institution is seeking an Experienced Executive Administrative Assistant to provide general executive support and complex administrative duties to the Chief risk Officer and the Chief Compliance Officer.


Your Responsibilities Will Include:

• Providing full administrative responsibilities to high level executives
• Preparing expense reports, invoices (domestic and international currency), meeting minutes, memos and spreadsheets
• Attending and taking minutes in all departments and in various meetings on a monthly basis or as needed (must have experience in minute taking)
• Coordinating department meetings, conferences, presentations and conducting special projects
• Coordinating logistical matters for meetings, workshops, and customer/vendors (including: site/room reservations, snacks/beverages, supplies and equipment)
• Assisting with corporate events and other special projects

Requirements:

Clerical Duties:

• Advanced administrative duties such as: handling telephone calls, scheduling appointments, booking travel and other administrative duties
• Managing calendars; sending and receiving e-mails;
• Maintaining and organizing filing system; handling all correspondence in an efficient professional manner
• Preparation of materials for meetings, and appointments
• Coordinating travel (scheduling and all associated arrangements)


Required Skills:

Education/Work Experience

• Post secondary Education and University degree preferred
• Must have 5 years experience supporting executive level management
• 3-5 years experience in financial services setting
• Accounting skills and experience preferred

• Must have excellent PC skills including: Windows, Microsoft word, PowerPoint, Excel and Access
• Prior experience taking and recording minutes
• Significant knowledge of operations, and procedures, including relevant corporate operations, procedure and people.
• Knowledge of Financial Industry/Banking is an asset
• Exceptional interpersonal skills, oral and written communication skills, and a highly professional attitude
• Bilingualism (English/French) is desired
• Superior customer service skills
• High degree of efficiency in time management and demonstrated ability to prioritize
• Team orientation, deadline driven and ability to work under pressure and to multi-task
